Swift POS
User Guide
A short reference for administrators and supervisors. For the step-by-step onboarding path, use the Getting Started guide.
1. Login
Sign in on the Swift POS Web/PWA with your own credentials. Complete first-login password change when prompted.
2. Dashboard
Use the dashboard for a quick view of sales activity and shortcuts into products, inventory, and settings.
3. Business setup
Confirm business name, contacts, location, currency, and receipt details under Settings / Business.
4. Branches
Configure your primary outlet first, then add more branches if your operation spans multiple locations.
5. Products
Add products with name, SKU/barcode, category, selling price, tax, and stock where applicable. Import catalogues when available.
6. Inventory
Track stock levels and adjustments from the inventory module so sales stay accurate.
7. Sales
Process sales from the POS sell screen. Operational staff typically use Android POS for floor sales.
8. Tables / orders
Where hospitality features are enabled, manage tables and open orders according to your plan.
9. Payments
Accept cash and configured digital methods. Confirm payment status before closing a sale.
10. M-Pesa
Configure Till, PayBill, or Pochi details in payment settings and verify with a test before go-live.
11. Users
Create individual accounts from Users / Team. Never share one login across staff.
12. Waiters
Assign the Waiter role and have them sign in on Android POS for order taking where enabled.
13. Cashiers
Assign Cashier (or equivalent) for settlement and payment collection within their permissions.
14. Android POS
Operational users install/access Swift POS Android from the official access page, then sign in with their own credentials.
15. Reports
Review sales and inventory reports from the administrator PWA to monitor daily performance.
16. Settings
Update business, devices, and notification preferences carefully — restrict settings to trusted administrators.
